Who we are

FedhaBooks is a small-business accounting and payroll application built for Jamaican micro, small, and medium enterprises (MSMEs). It is published and operated by Fedha Technology Limited ("we", "us", "our"), based in Kingston, Jamaica.

This policy explains what information FedhaBooks collects when you use the mobile app, how we use it, and the choices you have. It applies to the FedhaBooks app (package identifier com.fedhabooks.app) and to our related services at fedhabooks.com.

Information we collect

We collect only the information needed to provide the app. Most of it is information you enter yourself.

Account data

When you create an account we collect your name and email address. We use these to identify your account, sign you in, send one-time passcodes (OTP) for email verification, and send transactional email such as password resets and security notices.

Your business content (including financial information)

FedhaBooks stores the business records you create in the app. This is your data, and it includes your own business financial information. It can include:

• Your company profile.
• Customers you add, which may include customer names, email addresses, and phone numbers.
• Invoices, estimates, expenses, bills, and payments you record.
• Payroll and employee records.
• Products and inventory.

Receipt photos and camera

If you choose to scan a receipt, FedhaBooks accesses your camera or photo library so you can capture or pick a receipt image. The image is used to read its text (vendor, amount, date) so we can auto-fill an expense, and the image can be attached to that expense. We only access the camera or photos when you start this action.

Technical and server logs

When the app communicates with our server, our systems record standard request information such as your IP address and the time of the request. This is normal server logging used to operate, secure, and troubleshoot the service.

How we use your information

• To create and manage your account and keep you signed in.
• To send one-time passcodes, verify your email, and send transactional email (for example password resets and security alerts).
• To provide the core features of the app: invoicing, estimates, expenses, bills, payments, payroll, inventory, sales tax (Jamaica GCT), reports, dashboards, and savings goals and budgeting.
• To extract text from receipt images so we can auto-fill expense details.
• To operate, secure, maintain, and improve the service and to prevent fraud and abuse.
• To manage your subscription and billing tier.

Third parties we share with

We do not sell your data. We share information only with the service providers we need to run FedhaBooks, and only for the purposes described here:

• OCR.space — receives the receipt images you scan in order to extract their text (vendor, amount, date).
• Email delivery provider (Resend, or an SMTP host) — receives the recipient email address and message content in order to deliver one-time passcodes and transactional email.
• Payment processor (Fedha Pay) — Fedha Technology's own payment module, used to process card or payment data only when online card payments are enabled. This feature is currently disabled, so no payment data is processed unless and until it is turned on.
• Expo / EAS Update — delivers app software updates to your device. It does not receive your personal data.

Data storage and security

FedhaBooks is online-first. Your data is stored on our servers, which run on Fedha Technology's hosting at fedhabooks.com. All network traffic between the app and our servers is sent over HTTPS, so it is encrypted in transit.

We use reasonable administrative, technical, and organizational measures to protect your information. Your account can also be protected with email one-time passcodes and optional two-factor authentication (TOTP). No method of transmission or storage is completely secure, but we work to safeguard your data.

Data retention and your rights

We keep your information for as long as your account is active or as needed to provide the service and meet legal, accounting, and security obligations. You have the right to:

• Access the information in your account.
• Correct your information — you can edit your account and business records directly in the app.
• Delete your account and data. You can manage your account in-app, or request account and data deletion by emailing support@fedhabooks.com.

Children

FedhaBooks is intended for business owners and operators aged 18 and over. The app is not directed to children, and we do not knowingly collect personal information from anyone under 18. There is no user-generated public content and there are no social features in the app.

International users

Fedha Technology Limited is based in Jamaica, and our servers and service providers may be located in Jamaica and other countries. If you use FedhaBooks from outside Jamaica, your information may be transferred to, stored in, and processed in countries whose data-protection laws may differ from those where you live. By using the app you understand that your information will be handled as described in this policy.

Changes to this policy

We may update this Privacy Policy from time to time. When we make changes, we will revise the "Last updated" date above and post the new version at this page. Significant changes may also be communicated in the app or by email. Your continued use of FedhaBooks after an update means you accept the revised policy.
